Administrative Assistant/ Office Manager:
Estudio Teddy Cruz, a small design practice devoted to researching issues of housing in the context of public culture and community organization, is seeking an energetic office manager / administrative assistant. This person would be willing to creatively co-exist with designers and researchers in an informal 'design-workshop' environment which is currently in desperate need for organization. This person would be involved in a range of issues and tasks, from bookkeeping to assembling -content oriented- design proposals and presentations. Education: College Degree or equivalent experience with minimum two (2) years college related courses preferred. Experience: Minimum five (5) years general and administrative office experience required. Two to three (2-3) years experience in administrative management capacity. Additional Qualifications: • Professional attitude and appearance • Outstanding organizational skills, detail oriented, and the ability to handle multiple tasks effectively in a fast-paced environment with minimal supervision • A “take ownership” attitude toward all tasks great or small, and a sense of urgency when necessary • Demonstrated initiative, judgment, and the ability to handle confidential matters with absolute discretion Position Responsibilities (include, but are not limited to): • Office administrative staff (supervision, structure, staffing, training/mentoring, evaluations) • Oversight of office expenditures (petty cash, checkbook, credit card) • Oversight of office facilities (appearance, maintenance, supplies) • Coordination between technical and non-technical staff members • Liaison with Support Services (Accounting, Human Resources, Marketing, Business Services, IT) • Ensure adherence with HMC policies, procedures, and standards • Travel arrangements and event registration • Timecard Process (auditing, tracking, submittal, and approval) • Coordinate all office training, seminars, and implementation of new procedures • Recruiting / New Hires (working closely with Human Resources recruiting new talent, and ensuring that new hires receive all introductory documentation, testing, and training) • Administration, reconciliation, and maintenance of Managing Principal’s calendar, along with office vacation/event calendar
